Your new role

As the Transport Coordinator, you will be responsible for co‑ordinating the safe and timely transportation, delivery and return of company equipment, while supporting the day‑to‑day administration of branch operations.

Your key responsibilities will include:
  • Co‑ordinating and reporting equipment movements across branches, third‑party depots, agent locations and storage yards.
  • Ensuring all movements are recorded accurately, including daily reconciliation of forklift logs and Container Movement Reports (CMR).
  • Working with the Sales team to understand customer delivery requirements and engage the appropriate transport provider.
  • Raising and closing Bills of Lading (BOLs), and issuing reservation and pick‑up ticket numbers to authorised customers.
  • Administering repositioning requests, rail bookings, collections and other transport movements.
  • Liaising with transport and crane vendors regarding delivery schedules, route planning and road restrictions.
  • Working with the workshop team to ensure equipment readiness and correct allocation.
  • Co‑ordinating staging of incoming and outgoing equipment for branch transfers.
  • Maintaining strong working relationships with transport vendors and sourcing quotes outside rate cards to maximise profitability.
  • Conducting pre‑delivery and day‑of‑delivery customer calls to minimise futile charges and support NPS targets.
  • Notifying Operations of inclusions and accessories on returned rentals.
  • Reporting forklift and equipment breakdowns and co‑ordinating servicing or site services as required.
  • Assisting with local transport contract management and updating vendor rate cards.
  • Supporting stocktakes across the branch and third‑party depots.
  • Liaising with the yard/workshop team to arrange customer onsite inspections.
  • Supporting workplace efficiency and safety through 5S, PPE compliance, hazard reporting, emergency procedures and safe equipment handling.
  • Co‑ordinating branch consumable deliveries (e.g., fuel trucks, cleaning supplies) and managing customer access to self‑storage equipment.
  • Processing customer payments, assisting with accounts receivable, responding to account enquiries, and raising/administering POs.
  • Performing additional duties as delegated by your manager.

What you'll need to succeed

  • Certificate IV in Business Administration or Logistics (desirable).
  • Two years' experience in administration, logistics, or supply chain.
  • Equipment rental industry experience (desirable).
  • Excellent written and verbal communication skills.
  • Strong organisational, problem‑solving, and time‑management capabilities.
  • Outstanding attention to detail.
  • Intermediate MS Office skills, including Excel.
  • A strong customer service approach with both internal and external stakeholders.
  • A collaborative, proactive and positive attitude with a focus on team success.
