Position Title: Admin / HR Coordinator (Site-Based)
Location: Lindeman Island, Whitsunday Islands, QLD, Australia
Reporting To: Human Resources Manager
Salary: AUD 90K–120K + Superannuation
Overview
The Admin / HR Coordinator supports the HR Manager in enforcing workforce compliance and managing day-to-day HR and site administration on Lindeman Island.
This is not a passive administrative role. The position requires a disciplined, principled, and resilient individual who can apply company policies consistently, maintain accurate records, and uphold professional standards in a remote site environment.
The role acts as a site-level gatekeeper, ensuring attendance, payroll inputs, accommodation, and workforce conduct are managed strictly in line with company policy and HR direction.
Candidate Profile
The ideal candidate will have:
Experience in remote sites, construction projects, FIFO/mining camps, or site offices
Strong integrity and confidence to enforce policies across all staff levels
A detail-driven, “by-the-book” approach with no tolerance for favoritism
The ability to handle difficult conversations calmly and professionally
Key Responsibilities
Attendance, Timesheets & Payroll Support
Manage daily staff sign-in/out and attendance records
Verify timesheets against approved rosters and working hours
Act as the authorised site verifier before submission to Head Office payroll
Escalate discrepancies or non-compliance to the HR Manager
Accommodation & Site Logistics
Administer staff accommodation allocation per company guidelines
Maintain accurate accommodation and occupancy records
Coordinate arrivals, departures, and on-island logistics
Escalate unauthorised changes or misuse
Workforce Compliance
Conduct routine and random site compliance checks
Identify and document attendance or conduct breaches
Report findings objectively to the HR Manager
Support investigations and disciplinary processes
HR & Administrative Support
Maintain employee files and HR documentation
Support onboarding, offboarding, leave tracking, and HR reporting
Act as a coordination point between site operations and HR
Logistics Coordination
Coordinate the movement of materials, equipment, and personnel to and from the island
Liaise with transport providers, suppliers, and contractors on logistics arrangements
Track deliveries and maintain basic inventory records for site supplies and equipment
Support planning of on-island accommodation, catering, and resource usage
Manage bookings and scheduling of shared site resources (e.g. vehicles, meeting spaces)
Authority & Governance
Operates under the authority of the Human Resources Manager
Responsible for policy enforcement and accurate reporting, not discretionary decisions
Any policy exceptions must be escalated to HR for approval
Qualifications & Attributes
3–5 years’ experience in construction, FIFO, or remote site environments
Experience with attendance tracking, payroll support, and site administration
Highly disciplined, reliable, and detail-oriented
Confident, impartial, and able to work independently in a remote setting
